Hey everyone.

Reading through some other threads here, I thought it might be a good idea to look into creating an AIC intranet.

This would allow people to check out documents, communicate with their committees and generally have a better and more transparent nexus of communication that the boards/email lists set up.

I checked out a couple of applications I am familiar with (Sharepoint, Intranets.com - now WebEx Office and BaseCamp).

I would recommend we start out with a personal account with Basecamp ($12/month) and upgrade as needed. The Austinist uses Basecamp for the publishing work flow, and I've found it easy to use and a good tool.

What do you guys think? This would allow us to keep certain files all in one place, along with a lot of other cool stuff.

I have used both Sharpoint and Basecamp at work and definitely prefer Basecamp. I too support this...and Erika May.

ok. i have set this up and sent invitations to a couple of you.

if you replied this thread and have not gotten an invitation to join basecamp (jason and jay), please email me at elektra_may(@)yahoo.com

for everyone else just lurking on the thread, i will send out another round of invitations soon. please send me your email if i dont have it (valerie, this means you).

i also set up 3 projects (which is our max for the $12 mo plan) that are segmented as:
1. marketing/PR
2. scheduling and
3. education, other

if we blow through our file storage space (100MB) or need more projects, we can upgrade over time.

can i request that anyone who has a file regarding AIC post it in basecamp in the appropriate category?

And I hope hope hope that someone puts a brochure for the Summer Camp up or someone sends that brochure to me soon.

I know several very interested parties (some of them school teachers) and the school year is almost over!

i should have put more explanation in my posts.

here is the deal:

i've set up an account for us at http://austinimprovcollective.projectpath.com/login (you will need a user name and login to access it)

it's called 'basecamp' and it will help us do the following:
1. assign ourselves and other committee members tasks (to dos)
2. post documents that everyone should have access to (summer camp flyer, schedule, marketing flyers) so this stuff lives centrally and is easy to get to
3. set goal dates to accomplish certain things
4. post information that should not be accessible to the public (financial statements, smack talking and gossip)

i've proposed this to bob a., but i recommend we keep things that are tribal knowledge (the history of cagematch teams, the contact number for massive or french club dropouts, the number for davis from NXNW) in the wiki.

for committee notes (deroos), and other docs and committee conversations, i recommend we put that in the basecamp.

Can we have a specific folder in one of the projects JUST for:

A) AIC Schedules (so they're all in the same space -- I find it difficult to search through this forum for old schedules as there are quite a few posts every day).

B) AIC meeting notes (see above)

i dont see any folder capabilities in the projects.

if someone wants to upload a schedule (or any document), you will need to open the project (scheduling) and select 'assets'.

then upload the file.

Okay. Hmm. I have lots of ART files currently on my website that I COULD put up in the marketing folder (troupe & show banner ads; AIC logo ad/flyer/website files & source files) but I'm guessing I would very quickly MAX out the memory. Instead, I could put a few art things (high demand? what would those be? AIC poster?, new AIC Flyer, sink images?) , but it seems like it would be better to save that space for documents that we want to be able to check in/out.
