8.6.06 Meeting Minutes

Present: Bob Apthorpe, Jeremy Lamb, Chris Trew, Jill Morris, Kaci Beeler, Roy Janik, Wesley Bain, Christina de Roos, Dave Buckman, Rachel Madorsky, Nadine Latief, Andy Crouch, Xaq Webb, Valerie Ward

I. Scheduling Committee
a. If you haven't gotten your availability in yet, do so ASAP!
b. Contact Buckman ASAP if you know of any sketch, music, or variety show acts for Thursday Night Awesome.
c. If you are teaching a class tell the scheduling committee so they can put it on the schedule.
d. If you are willing to perform during ACL let Dave know.

II. Finance Committee
a. Erika's announcements were read.
b. The bank account at is set-up at Prosperity.
c. If you want access to the account ask Andy C.
d. The payout for summer camp will be $140 to Jeremy Lamb, $140 split between Jastroch, Shana and Christina and $140 to the AIC.
e. AIC will give their cut of the OoB Cage Match shows to OoB in exchange for official sponsorship including a logo on t-shirts, programs and the website.
f. AIC will have an ad in the OoB program, to be designed by Jeremy.
Jeremy will design an ad for AIC by 8/15.

III. Advertising
a. Wes expressed a desire to step down from his position as committee chair.
b. Jeremy agreed to take over after OoB.
c. Andy C. agreed to work with Wes and Jeremy during August to facilitate the transition.
Andy will meet with Jeremy and Wes to facilitate change of power during the month of August
Andy and Wes will meet to discuss new t-shirts and free tickets and to plan to help slot owners design postcards by August 9.

IV. Slot Ownership
a. Responsibilities of slot owners: maintain the show image, keep info on austinimprov.com complete and up-to-date, make sure flyering is going on, portray the show concept to the performers, make sure show is hosted, name call time for troupes, set-up order of groups, communicate with light and sound improvisers, increase and maintain show quality.
b. Term length for show ownership is 6 months.
c. Publicity ideas from Xaq: bring a friend or coworker, advertise on LJ and Myspace, talk to strangers, improv in weird places, community events, free tickets to strangers, invite reviewers, build relationships with audience members, go outside and talk to audience members after shows.
d. An idea was presented for changing the threefer. This idea will be discussed with the new slot owner. The idea is to have the first group do 5 minutes of short-form games before the start of their set. Details to be worked out.
At the next meeting we will vote on an ownership nomination process.
AIC slot owners must design a postcard face by 8/15. Andy and Wes will help facilitate this.
Jeremy will post information about the postcard specs on the forum.

V. Host Troupe Duties
Andy and Xaq will print and laminate host troupe duties by 8/11.
Andy and Xaq will print instructions for the credit card machine and post them in the box office by 8/11.
We'll write the name of the host troupe on the white board in the green room each week.
Roy and Bob A. will work on getting individuals in host troupes into the scheduling system so they receive an e-mail remainder the week of their duty. To be complete by 10/1.
NEW POLICY: If your troupe successfully completes host troupe duties on one schedule, they earn the privilege of being schedule to perform in the next schedule.
Dave will send an e-mail to the community regarding this new policy.

VI. AIC Definition
a. What is an AIC show? What are the benefits? What are the responsibilities? What is our membership?
This will be discussed at the next meeting.

VII. Committee Committee
a. AIC Awesomeness awards were given out!
i. To Coldtowne for performing at Del Close Marathon.
ii. To Jeremy and Madeline for putting on Kazillionaire.
b. AIC Service awards were given out!
i. To Erika for reliably and cheerfully dealing with our finances and Austin Chronicle listings.
ii. To Dave and Andrea for dealing with the hell that is scheduling.

VIII. Complimentary Ticket Policy
a. Improvisers get in free at the advertised start time.
b. There are no complimentary tickets for improvisers to give out to friends and family.
c. Press gets in free.
Dave will post the comp policy on the boards.

IX. AIC Meetings
a. We voted against formal rules of order and agreed to take measures as necessary on a per meeting basis to maintain civility and order.

X. Future of the Hideout
a. The lease ends in Spring 2009.
b. We have first option to renew.
c. The motivating factor for Sean to renew will be monetary, not emotional. We need to be a money-making machine by then to keep our space.

XI. T-Shirts
Andy will make another t-shirt order before OoB.

XII. AIC BBQ
a. Rachel and Val are working on it.
Rachel and Val will have two options for us to vote on by the next meeting.

XIII. Ramp up for OoB
a. See Xaq's ideas above.
b. More postcards and flyers should be handed out. Check the OoB section of the boards for details.

XIV. Next meeting
a. Sunday, September 10 from 1:00pm - 4:00pm.

As an owner of one of the slots, I have one question about the six month term length..

Is this a renewable thing, or do you just get six months to do with as you please, then you have to give it up? I really don't want to put a heck of a lot of time and energy into something just to have it taken away after a specific time. That doesn't really seem fair, especially since I'm out 8 weeks due to the Out of Bounds Cage Match taking place right now.

Is this limit a definite thing, or is it still up for debate?

6 months initially. then we as a community evaluate and (most likely) beg you to keep up the great work!

the 6 month thing is really a measure to check in to see if the owner would like to keep owning. it's so people won't feel like they have to indefinitely take control of such a big undertaking. i can't imagine anyone would ask you to leave the C.M. considering everything you've done for it.
