Julie, there was a Volunteer Coordinator title that was and then quickly wasn't. There would be a point person (pun intended) who would keep track of people's points. I would want a couple of months to institute it to find a database solution for keeping track of those points efficiently. Also, once a point system is place, people can opt to pay a due equivalent to the points instead of doing that work, that money could then be used to do those things that you suggested. The key thing I was addressing with the point system is that there are A people and B people, where A does lots more work than B and gets no extra benefits other than the hopeful gratitude of doing it and B does whatever it can but it is far less due to other commitments or basic wants but is sometimes made to feel guilty for not doing more.

Gene, yes the current system works well but there are some issues to consider in a long-term structure. First, not all groups are created equally. Some groups do not have enough of a pool of people to satisfactorily staff all the positions. So what do we do? We start bringing in people on an individual basis. Also, there has been issues raised with having to stay the whole evening. With the new staffing system, people can opt for particular roles and decide to stay for one show or the other.

In regards to the Saturday shows and such, those would be outside the point system, unless the Hideout opts to use some of the points that it earns (for being the host space of 4 AIC events a week, not counting the AIC general meeting) to barter for staffing. This would be part of the contract that we would set up.

as far as keeping the fun in tact, I believe this improv community will make whatever it does fun. by creating a system I am hoping it will be easier to have fun because it takes some of the guess work out of the business side so that people know exactly what they are committing to and exactly what they are getting out of it.

AIC General Body Meeting
April 8, 2007
1-3pm

Members present: Kacey S, Kareem B, Shana M, Orf, Wesley B, Christina dR, Andy C, Valerie W, Kristin F, Asaf R, Shannon M, Jason V

Marketing
- we need more money for marketing
- want to change to flat rate for certain things
- CTT is buying Onion ad for $400/month for 4 or 5 month commitment, we’d like to piggyback on their contract
- vote on a flat rate marketing budget for 1 quarter: 11 in favor, 1 abstaining, approved
--> ad-buying funds: approved
--> Onion ads: approved
--> internal Moterblade service: approved
--> vinyl signs: approved
--> AIC posters: approved

Wes and Erika will work together to try to pursue the above marketing devices. We will not spend more money than we can afford. We will trust them to not bankrupt the AIC.

Incorporation
- we are umbrella’ed under AcoT non-profit status and use their tax ID number for our bank account, etc. But they’re not very organized.
- AIC should move towards its own 501©3 status
- the first step is to incorporate, which would make us not-for-profit. It costs $25 in TX.
- it serves to protect our assets so we can have out own tax ID
- vote on AIC incorporation: approved
- Shannon will contact Yellow Tape re: Texas Lawyers for the Arts as a cheap way to gain 501©3 status

The AIC will begin steps towards its own incorporation. This is separate from not-for-profit status, but is a step in that direction.

Venue Contracts
- want to have in writing the cuts with the theater, length of show runs, etc.
- vote to approve venue contracts: approved
--> time limits of 4 months: approved
--> liability of damage to the space: approved
--> performance guarantees: will vote later after looking at it
- Andy will send standard Hideout contract to Asaf

Asaf and others will begin writing up venue contracts between the AIC and the venues with points regarding the above-mentioned clauses. Before they are brought to the venues, the body will look at the clause regarding performance guarantees (how much $$ or marketing effort or whatever the AIC will put forth for each show) before approving whether we want that in the contract. It is understood that the venues will also negotiate in this process.

Consolidation of Events
- AIC events are able to gain benefits from the AIC
- they could use not-for-profit status
- we’ll get things from the event
- No vote today.

We still don't know what it means to be an AIC event. We need a proposal about what it means to be an AIC event before we vote on granting that status to existing, non-affiliated events.

Membership
- would use a reward system to motivate all members to participate
- each member would have a minimum number of points required to maintain good standing
- would change Friday night hosting from troupe to individual basis
- points transferable within a troupe
- Asaf would keep track of points and schedule individuals for responsibilities
- potential benefits of membership:
--> invitations to AIC events
--> inclusion on AIC front page
--> free admission to shows
--> 501©3 status
- votes on aspects of membership proposal:
--> individual membership: approved
--> point system: approved

Asaf will write a formal proposal including the approved aspects above, which the membership will have the opportunity to vote on.
